How FlatOut handles your information
Short version: we collect what we need to quote and do your job, we share it with the people doing the work, and we don't do anything else with it. The longer version is below.
Who we are
FlatOut NZ, Christchurch, New Zealand. We arrange move-out services for students — moving, end-of-tenancy cleaning, rubbish removal and storage. You can reach us on 027 408 6895 or at admin@flatoutnz.co.nz.
What we collect
When you fill in the quote form on this site, we collect your name, phone number, email address, the address you're moving out of, where you're moving to, your move date, what services you need, the size of the job, and anything else you choose to tell us. We also record whether you're a student, how you heard about us, how you'd like to be contacted, and the date and version of the terms you agreed to.
If we go on to quote and do the job, we'll also hold the quote, invoices and payment records associated with it.
Why we collect it
To contact you, to arrange a time to look at the job, to price it, to organise the contractors who carry it out, and to invoice you. Giving us this information is voluntary, but without it we can't quote or do the work.
Who we share it with
The contractors carrying out your job get what they need to do it — typically your name, contact number, the address and what the job involves. They're contracted to us and are not permitted to use your details for their own marketing or to approach you directly.
We don't sell your information, and we don't share it with anyone else unless you ask us to or the law requires it.
Where it's stored
Form submissions are sent to a Google Sheet in our Google Workspace account, and our email and accounting run on Zoho. Both store data on servers outside New Zealand. Access is limited to the two of us who run FlatOut.
How long we keep it
Enquiries that don't turn into jobs are deleted after twelve months. Records for completed jobs are kept for seven years, which is what New Zealand tax law requires for business records.
Cookies and tracking
This site sets no cookies and runs no analytics or tracking scripts. Nothing follows you around after you leave.
Seeing or correcting your information
Under the Privacy Act 2020 you can ask us for a copy of the personal information we hold about you, and ask us to correct it if it's wrong. Email admin@flatoutnz.co.nz and we'll come back to you within twenty working days. You can also ask us to delete your information, and we will unless we're required to keep it for tax records.
If you're not happy with how we've handled your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
